Care rates carry structure that flat billing hides: overnight and live-in arrangements, weekend and holiday differentials, minimum shift lengths, mileage, and short-notice cover premiums. Put all of it in the service agreement and apply it consistently, and have the differential conversation at care planning rather than on the first holiday invoice. A surprise holiday rate is how a good relationship with a family becomes a billing dispute during a week that was already difficult for them.

Where a family holds long-term care insurance, they usually pay you and claim back, and the claim succeeds or fails on your paperwork. Provide itemised invoices with the detail insurers ask for: dates, hours, services provided, caregiver credentials where relevant, and the agency's identifying information. Agencies that produce clean documentation get recommended by care managers, and agencies that do not get quietly dropped.
