A fitness center sells memberships that bill monthly whether or not anyone attends, which is the best recurring revenue model in small business and the one most vulnerable to quiet failure. A card that expires, a charge that declines, a member who cancels informally: each is a small leak, and together they are the difference between growth and a plateau. Here is the setup.

Part of a bigger question. This is one example of a broader topic — How Do I Build Business Credit?. Start there if you want the full picture.
How fitness center money actually arrives
Four flows. Membership dues: recurring monthly or annual billing, the core of the business. Joining and annual maintenance fees at enrolment. Class packs, personal training, and premium services, which carry better margins than membership. And ancillary revenue: retail, day passes, guest fees, and vending.

Which Business Is Right For You?
Take the 2-minute quiz and get matched to a business that fits your budget, your skills, and how much time you actually have.
By the numbers (July 28, 2026)
Rate that applies: 3.5% + 15¢ on a stored or keyed card, per Square's 2026 US pricing. Processing a $55.00 monthly membership dues costs $2.08. Charged on a stored method each month, where the recovery habit on failed charges matters more than the rate on any single one.
The expected-versus-landed habit
Every week, compare dues billed against dues actually received. The gap is failed cards, expired cards, and disputed charges, and it is invisible unless someone looks. Work it immediately: automatic retries, expiry outreach before cards lapse, and a friendly human call for anything still outstanding. A gym with three hundred members and a five percent silent failure rate is losing a meaningful sum every month while its member count looks healthy, which is precisely why the number matters more than the roster.
Tool I Use
Take cards and send bills with Square
Get paid in person or online — free business bank account. You only pay when you get paid.
Try Square →Cancellation terms that are clear and fair
Membership cancellation is the most complained-about practice in this industry, and applicable consumer protection rules in many jurisdictions govern how contracts may be structured, what notice may be required, and how cancellation must be made available. Follow them, and go slightly further: make cancelling straightforward, confirm it in writing, and stop billing promptly. Gyms that make leaving difficult generate complaints, chargebacks, and reviews that cost more than the retained months are worth, and the members who stay under duress do not renew anyway.

Set up your LLC with MyCorp
They file the paperwork for you — no lawyer needed. You stay legal from day one.
Start With MyCorp →Training, packs, and contractor payouts
Personal training and class packs are prepaid service, which means the money arrives before the obligation is discharged and the balance is a liability rather than revenue. Track sessions sold against sessions delivered, and state expiry, transfer, and refund terms at purchase. Where trainers are contractors, payouts should be documented per session or per split on fixed dates, and the money trail should match the engagement model, since classification rules apply and this sector is not lightly scrutinised.

Get Bluehost →Freezes, annual plans, and the rails
Freeze and pause policies reduce cancellations materially when they are easy to use, because a member who can pause for a month during travel or injury returns, while a member who must cancel usually does not come back. Annual paid-in-full plans improve cash flow and carry their own refund considerations, which should be stated. On rails, dues run on stored cards where convenience matters most, though bank debit where available typically costs less at membership volumes and fails less often than cards, which is worth modelling at scale.

Constant Contact
For a business that runs classes, services, or events, this is the one I point people at. Live phone support — which the big platforms genuinely do not offer at this price — and real event and RSVP tools built in. Plans start around $12/mo.

What people ask me
What is the expected-versus-landed habit?
A weekly comparison of dues billed against dues received. The gap is failed and expired cards, invisible unless someone looks, and it needs working immediately.
How should cancellation be handled?
Straightforwardly, confirmed in writing, with billing stopped promptly and applicable consumer protection rules followed, since difficult cancellation costs more than it retains.
How should class packs be treated?
As a liability rather than revenue, with sessions sold tracked against sessions delivered and expiry, transfer, and refund terms stated at purchase.
Do freeze policies help?
Materially. A member who can pause during travel or injury returns, while a member forced to cancel usually does not.
Card or bank debit for dues?
Cards are convenient, but bank debit where available typically costs less at membership volumes and fails less often, which is worth modelling at scale.
