How To Accept Payments For A Bed Breakfast

A bed and breakfast collects from guests who booked weeks ago through a platform, arrive expecting hospitality rather than a transaction, and often want to add things once they are there. The payment setup has to be invisible at the door and rigorous behind it. Here is how it should run, from booking to breakfast extras.

Part of a bigger question. This is one example of a broader topic — How Do I Build Business Credit?. Start there if you want the full picture.

How bed and breakfast money actually arrives

Four flows. Platform bookings: guest payment collected by the booking site and released to you around arrival, minus commission, on their schedule. Direct bookings: repeat guests and referrals booking with you, where you keep the commission and control the terms. Incidentals: extra nights, late checkout, dinner, tours, transfers, added during the stay. And event or exclusive-use bookings, weddings, retreats, family gatherings, which behave like venue hire and need deposits and contracts rather than nightly terms.

By the numbers (July 28, 2026)

On Square's 2026 US card, this lane is 3.3% + 30¢ online or on a card-paid invoice. A $420 two-night direct booking carries $14.16 in fees. On a direct booking there is no platform commission on top, which is what makes the processing cost the cheapest money in the business.

Direct bookings are the whole margin argument

Platform commission is the largest single cost in most small lodging businesses, so every direct booking is worth materially more than the same guest arriving through a site. Make direct easy: a payment link or booking page, a deposit taken at reservation, the balance charged before arrival, and a written cancellation policy stated at booking rather than discovered later. Repeat guests will book direct if it takes one tap, and a card left on file with permission makes their next stay effortless, which is the point.

Deposits, cancellations, and no-shows

A small property loses disproportionately to a cancellation, because a single empty room on a Saturday is a meaningful share of the weekend. Take a deposit at reservation, state the cancellation window and what is retained plainly, and hold a card on file for the balance. Enforce it consistently, with discretion for genuine emergencies, because a policy applied unevenly is a policy guests learn to argue with. Confirmations that restate the terms do most of the enforcement work before anyone has to have a conversation.

Extras during the stay, collected without friction

The revenue most small properties leave uncollected is the mid-stay extra: dinner, a bottle, a late checkout, a transfer, a tour booking. The mechanism that works is a payment link sent to the guest's phone or a reader at the desk, settled at the moment rather than added to a bill nobody wants to discuss at checkout. Guests spend more when paying is easy and forget entirely when it involves cash they do not have. Keep a simple record so the morning reconciliation is thirty seconds rather than a reconstruction.

Exclusive-use bookings and the regulatory layer

Weddings, retreats, and whole-property bookings are contracts rather than reservations: a signed agreement, a substantial deposit at booking, staged payments, a final headcount deadline, and clear damage terms. Price and paper them as events. Separately, lodging is heavily locally regulated, with permits, occupancy and tourist taxes, food service and fire requirements, and insurance obligations varying by area, and platforms collect some taxes in some places and not others. Confirm what applies to your property specifically rather than assuming the platform handles it.
