How Do You Create A Rate Sheet For A Notary Business?

Why Notary business loses work without a rate sheet

Most owners of notary business quote from memory. Somebody asks, you think for a moment, you say a number, and it is a slightly different number every time.

That inconsistency costs you in two ways and neither is obvious.

The first is that you underquote when you are tired and overquote when you are busy, and the customer cannot tell which one they got. The second is that a buyer who cannot see a number has to phone you to find out, and a meaningful share of them simply do not.

A rate sheet fixes both. It is the single cheapest professionalising thing notary business can do, and almost nobody has one.

What actually goes on it

For notary business, the sheet needs to cover per signature, travel, and after-hours.

That sounds obvious and it is where most people stop, which is why most rate sheets are useless.

What separates a rate sheet that wins work from one that sits in a folder is that it answers the questions the buyer has before they ask them. What is included. What is extra. What happens if the job runs long. What the minimum is.

Every unanswered question is a reason to postpone, and a postponed decision is usually a lost one.

The numbers to work out before you design anything

A beautiful rate sheet with the wrong numbers on it is worse than no rate sheet, because now you are committed to being wrong in writing.

So do the arithmetic first. Take a typical job. Write down the direct cost — materials, fuel, supplies, anything bought specifically for it.

Now count the hours, and count all of them. The work itself is the obvious part. Preparation, travel, cleanup, the messages back and forth, and the follow-up afterward are hours you cannot sell to anybody else.

Pick an hourly figure you would genuinely pay somebody else. Add it to the direct cost. Add your overhead — everything that leaves your account during a slow month as well as a busy one, divided by the jobs you complete.

That total is your floor. Charge below it and you are paying for the privilege of working.

Getting it designed properly, and what that costs

Once the numbers are right, the design matters more than people expect. A rate sheet is frequently the first document a buyer sees, and it is doing a job that has nothing to do with the numbers.

It is telling them whether you are a real business.

A rate sheet made in a word processor with mismatched fonts says one thing. A properly designed one says something else, and the difference is worth considerably more than what it costs to fix.

Write the brief properly, because a vague brief gets a vague result. Send it before the call rather than after. A buyer who has already seen the numbers arrives at the conversation having self-selected, and that saves you the calls that were never going to convert.

Update it once a year at minimum, and raise your prices when you do. New customers have no knowledge of your previous rate. Existing ones deserve notice and a date.

And do not apologise for the numbers. A price stated calmly is accepted calmly. If you sound uncertain about your rate, the buyer will be too.

What the rate sheet quietly does to your business

It stops you underquoting when you are tired. It stops the negotiation before it starts, because the number is written down and it applies to everybody.

It filters out the customers who were only ever going to shop on price, and those are the ones who negotiate hardest, ask for the most changes, and pay slowest.

It makes notary business look like a business rather than a person with a phone, and that perception is worth real money at the moment somebody is deciding between you and somebody cheaper.

And it is an asset in the literal sense. It exists whether or not you are working, it does its job without you, and a new hire can use it on day one.

The real obstacle here

The obstacle is rarely knowledge. Most owners broadly understand what they should be doing, and the gap between knowing and doing is where the difficulty actually sits.

Part of it is that the right action is frequently uncomfortable. Quoting a number that feels high. Asking somebody for money. Finding out something you suspected.

So make it deliberate. Put a specific hour aside. One thing done properly beats a list you never start.

The figures you should be able to answer

Very few owners can answer these quickly, and each one is worth an afternoon.

What does one hour of your work genuinely earn, once you count preparation, travel, cleanup, and the follow-up nobody bills for? That figure is almost always lower than the one in your head.

How much work is booked for next month, how many invoices are unpaid, and how old is the oldest? Those three answered every Friday show you a squeeze six weeks before your bank balance does.

Which job type quietly carries the business, and which one feels profitable and is not? There is nearly always one of each, and most owners have them backwards.

None of this requires software. It requires an hour and a willingness to see the answer.

The timeline nobody tells you

The first stretch is quiet. Very few people understand that you exist and establishing that takes longer than any plan admits. This is normal.

The first real money frequently arrives between month two and month four, and it is smaller than you hoped. It matters enormously anyway, because it proves the loop closes.

After that it compounds, slowly and then less slowly. The people it works for are not the talented ones. They are the ones still going when the fast starters have already moved on.
