Most disability support service owners price by instinct. They check what the competition charges and land just underneath, which assumes the competition understands their own numbers.
Part of a bigger question. This is one example of a broader topic — What Does One Hour Of My Work Actually Earn?. Start there if you want the full picture.
Work out what one disability support service job really costs you
The fastest way to fix your pricing is to cost out one job properly. Do it once and the same approach covers everything else. Most disability support service owners price by instinct instead, checking what the competition charges and landing just underneath.
That assumes your competitor understands their own numbers, and plenty of them do not.
Start with a typical job. Write down what it costs before your own time is counted. Materials, supplies, fuel, anything bought specifically for it. Be honest about the small items, because they accumulate faster than owners expect.
Now count the hours, and count all of them. The work itself is the obvious part. Preparation, travel, cleanup, the messages back and forth, and the follow-up afterward are hours you cannot sell to anybody else.
Pick an hourly figure you would genuinely pay somebody else. That is what your time is worth, including when you are the one doing it. Add it to the direct cost and you have a floor. Charge below it and you are covering the difference yourself.

The three numbers behind a price that works
Every price in a disability support service is built from direct cost, labour, and overhead. Include all three and the number takes care of itself. Leave one out and you get a figure that feels reasonable but never leaves anything behind at the end of the year.
Direct cost is the simplest and it still deserves attention, because waste belongs in it. Materials get damaged. Jobs get cancelled after you have committed. A small allowance in every quote makes your numbers accurate far more often.
Labour is the component owners leave out and it matters most. Paying yourself properly is what converts the work into an actual business rather than a demanding hobby.
Overhead is everything that leaves your account during a slow month as well as a busy one. Total it across a month, divide by the jobs you complete, and put that figure in every quote you send.
Why underpricing attracts the customers you least want
A low price does not just cost you margin. It changes who calls, and that is the more expensive problem.
The customer shopping purely on price negotiates hardest, asks for the most changes, pays slowest, and leaves the moment somebody cheaper appears. That is not a character flaw. It is simply what buying on price means.
Meanwhile the customer who would have paid properly quietly assumed you were not very good, because in a disability support service the price is one of the few signals available before the work happens.
Raising your price does not only improve the margin on each job. It changes who is calling, and that improves everything downstream.
How to raise your prices cleanly
Raising prices requires neither an announcement nor an apology. Quote the new number to the next person who asks. New customers have no knowledge of your previous rate.
Existing clients deserve notice. Give them a date and keep it brief. Pricing changes at the start of next month, anything booked before then is at the current rate. Some will book early, which is a useful bump in cash.
What usually happens is that a few people move on, and they tend to be the ones who negotiated hardest and asked for the most revisions. Recovering those hours is part of the benefit.
The rest stay, because they were never buying on price. If nobody leaves at all, you had more room than you realised, so revisit it in six months.
Where AI genuinely helps you price a disability support service
Most AI advice is written by people who have never priced a job. But there is one place it earns its keep here.
Give it a year of your actual jobs with the real hours each one took, and ask it to work out what each job type earned per hour. That is arithmetic across many records, which is exactly what people are bad at and software is good at.
The answer is usually uncomfortable and valuable. There is nearly always one job type that feels profitable and is not, and one that feels small and quietly carries the business.
What AI cannot do is tell you what to charge. That depends on your market and what you are willing to walk away from. But making the decision with the arithmetic in front of you is a different exercise from making it by feel.
What makes this hard in practice
The obstacle is rarely knowledge. Most owners broadly know what they should be doing, and the gap between knowing and doing is where the difficulty actually sits.
Part of it is that the right action is frequently uncomfortable. Quoting a number that feels high. Asking somebody for money. Finding out something you suspected. The discomfort is real and it is brief.
Part of it is that the important work never shouts. Nothing forces you to register the entity or document the process, so it waits behind whatever is loudest that day, and it can wait for years.
Thirty-three percent of my audience told me they research all day and never start. Research feels like progress and carries no risk of being wrong in public. But one tracked week of doing beats one more course, every time.
Where to start, week by week
Week one, separate the money completely. Business account, business only. It is an afternoon and it makes everything else possible.
Week two, work out what one job genuinely earns per hour, including the time nobody bills for. That number changes what you accept.
Week three, write down how the standard job is done. One page. That page is the beginning of a business that could exist without you standing in the middle of it.
Week four, complete your business profile properly and ask three happy customers for a specific review. Free, dull, and the highest-return hour available.
That is a month, it costs nothing, and it moves you further than most owners move in a year.
How long before anything happens
I would rather set the expectation properly than have you quit in week five believing something is wrong with you.
The first stretch is quiet. Very few people know you exist and building that takes longer than any plan admits. This is normal and it is not evidence the idea was wrong.
The first real money frequently arrives between month two and month four, and it is smaller than you hoped. It matters enormously anyway, because it proves the loop closes.
After that it compounds, slowly and then less slowly. The people it works for are not the talented ones. They are the ones still going when the fast starters have already moved on.
Fifty-two percent of my audience chose the phrase I am meant for more. If that is you, what stands between you and it is almost never information. It is a decision, followed by an unglamorous week.

What people ask me
How long before this starts working?
Longer than most people hope and sooner than most people fear. Give it a few months of steady effort rather than a few weeks, and judge it on whether enquiries are trending up rather than on any single week.
Do I need to spend money to start?
No. The highest-leverage steps here are free, and they are the ones almost nobody does. Tools help you measure and move faster. They do not do the work.
What if I have no time?
Then pick one thing from this and do it properly rather than five things badly. One change that actually happens beats a list you never start.
Is AI going to replace this work?
Not the work itself. It is genuinely useful for the repetitive parts around the work, and that is where the hours come back. The judgment stays yours, and that is what you are being paid for.
