Set up the safety net before the convenience
Coaches, more than most businesses, hear from people in real distress. Before automating anything, decide what happens when a message signals crisis. Your auto-reply must include a serious-situation line, written plainly. If you are in crisis, please contact a crisis line or emergency services now, because I cannot respond in real time. This is not legal filler. In some niches it is the most important sentence in your whole setup. A person in distress must never get a cheerful bot from you at 2 a.m.
The coach's actual setup
A scheduling tool handles booking, changes, and reminders. That alone removes most night messages. The auto-reply carries three things. Your morning-response promise. The serious-situation line. Links for logistics. During the day, AI takes the admin: summaries of your own notes, drafted follow-ups, homework reminders.
