A photography business gets paid twice per client if it is built correctly: once for the session, booked and deposited like the calendar commitment it is, and again in the gallery, where prints, albums, and digital collections sell through online checkout weeks after the shutter stopped. Most photographers build the first payment and improvise the second, which is why most photographers underearn. Here is the payment setup for a photography business, booking through gallery.

How photography money actually arrives
The flows. Session fees: portraits, families, branding shoots, booked with payment or deposit at scheduling. Wedding and event packages: the large tickets, deposit at booking, balance before the date. Gallery revenue: prints, albums, wall art, and digital collections purchased from online galleries after delivery, the second sale. Mini-session events: short slots sold by registration, a volume product with its own rhythm. And licensing or commercial usage fees on business work, invoiced with terms. The kit: booking-with-payment, stored cards for balances, gallery-store checkout, and invoices for the commercial lane.

By the numbers (July 28, 2026)
Square prices this lane at 3.3% + 30¢ online or on a card-paid invoice in 2026. A $2,200 wedding balance carries $72.90 in fees, against $10.00 on ACH, where the 1% rate caps at $10, saving $62.90. Scheduled before the date, never collected at the venue.
Booking: the session is sold when it is paid
The calendar rule, applied without exception: a session is booked when its payment or deposit clears, not when the inquiry sounds enthusiastic. Session fees collect in full at booking for standard shoots, by link attached to the booking confirmation. Weddings and large events take a contract-stated deposit at signing, e-sign and pay in one motion, with the balance scheduled to a stored card before the event date, never collected at the venue, never invoiced after the honeymoon. Reschedule and weather terms in writing at booking. Square's links, invoices, and stored-card scheduling carry the whole booking lane, per the recommendation above.
The gallery: the second sale most photographers skip
The gallery is where a photography business out-earns its session rate, and it works only as commerce. Deliver proofs through an online gallery with a built-in store: prints, sizes, albums, wall art, and digital-collection tiers priced deliberately, purchased by card at checkout like any retail product, fulfilled through your lab workflow. The mechanics that move revenue: a gallery expiration date that creates a real decision window, a featured collection tier that anchors pricing, and a follow-up rhythm, gallery live, midpoint reminder, closing notice, that treats the gallery like the store it is. Sessions cover the calendar. Galleries build the margin.

Take cards and send bills with Square
Get paid in person or online — free business bank account. You only pay when you get paid.
Try Square →Mini-sessions: registration commerce at volume
Mini-session events, a day of short slots at an accessible price, are the photography business's registration product, and their economics are checkout economics: slots published with times, paid registration as the only registration, capacity capped, waitlist collecting nothing until a slot opens. Payment-at-signup eliminates the no-show problem that would otherwise consume a day built on fifteen-minute margins, and the event doubles as a funnel, mini clients convert to full sessions and gallery buyers. Publish the reschedule policy with the signup, run the day on a full calendar, and let the format do what it exists to do: introduce the market to your prices gently.

Start With MyCorp →Commercial work: usage, invoices, and the business lane
Brand, product, and commercial photography pays on the business rhythm, and its distinctive element is usage. The estimate states the creative fee and the licensing terms, where the images may run, for how long, at what scope, because in commercial work the usage is a priced product alongside the shoot. Deposits at signing, balance at delivery, invoices with payment links and the references business payables systems need, bank details for the larger productions. Usage renewals are recurring revenue hiding in the file: calendar the expirations and invoice the renewals. The consumer lanes pay by link and gallery. The commercial lane pays on paper, and the paper includes the rights.

Get Bluehost →Contracts, files, and the professional finish
The hygiene layer. Contracts behind every booking: session terms, reschedule and weather policies, delivery timelines, print and usage rights stated per lane. Deposits and balances reconciled exactly, galleries delivered on the promised date, and refund or reshoot policies honored as written, because a photography dispute is always a written-terms dispute or a missing-terms dispute. Clear descriptors, automatic receipts, and prompt final invoices on commercial work. The portfolio wins the client. The booking system keeps the calendar honest. The gallery store earns the margin. And the paperwork, quiet and exact, is what lets all three run for years without a single payment argument.

What people ask me
When is a photography session actually booked?
When the payment clears: session fees in full at booking by link, wedding deposits at contract signing, and balances scheduled to a stored card before the event date.
What is the gallery second sale?
Post-delivery commerce: prints, albums, wall art, and digital tiers sold through an online gallery store at card checkout, moved by expiration windows and follow-up rhythms.
How should mini-sessions be sold?
As registration commerce: published slots, paid signup as the only signup, capped capacity, and waitlists that collect nothing until a slot opens.
How does commercial photography billing differ?
Usage is a priced product: estimates state creative fees and licensing scope, deposits at signing, balances at delivery, and usage renewals calendared and invoiced.
What contract terms prevent payment disputes?
Written session, reschedule, delivery, and rights terms per lane, exact deposit reconciliation, and refund or reshoot policies honored as written.
