How To Accept Payments For A Laundry

A laundry business takes small payments in a room that is often unstaffed, from customers who arrive with whatever payment method they happen to have, and increasingly through machines that accept cards and apps rather than coins. How laundry money actually arrives

Four flows. Self-service machine revenue: coins, cards, or app payments taken at the machine, which is the volume core. Wash-dry-fold service, priced by weight and paid at drop-off or collection. Commercial contracts: restaurants, salons, gyms, and short-term rental operators buying linen service on terms. And ancillary revenue from vending, detergent sales, and dry cleaning agency work.

Square's published 2026 US rate for this lane: 2.6% + 15¢ in person. On a $34.00 wash-dry-fold order that is $1.03. Taken at drop-off rather than collection, which removes the uncollected-bag problem before it can happen.

Coin, card, or app at the machine

Card and mobile payment systems on machines cost more per transaction than coins but reliably increase revenue, because customers are no longer limited by the change in their pocket and prices can be adjusted without recalibrating coin mechanisms. They also remove the cash handling, security exposure, and coin-run labour that a coin operation carries. The trade-off is upfront equipment cost and ongoing per-transaction fees, and the honest answer depends on your volume, your neighbourhood, and how much cash handling currently costs you in time.

Wash-dry-fold and collection risk

Service laundry is dropped off and collected later, which creates the two problems every operator knows: uncollected bags and disputes about damage or loss. Take payment at drop-off rather than collection where possible, weigh and record in front of the customer, and state the collection window and what happens to unclaimed items in writing, following the applicable rules on abandoned property in your jurisdiction. Photograph anything unusual at intake, since a damage claim is decided on what was recorded rather than remembered.

Commercial linen contracts

Restaurants, salons, gyms, and short-term rental operators buying regular linen service are the steadiest revenue a laundry has, and they need a written agreement covering volumes, collection schedule, pricing, loss and damage terms, and notice. Invoice monthly, enforce terms from the first late payment, and price knowing that commercial linen wears out and replacement responsibility should be explicit rather than assumed. These accounts also survive the recessions that thin self-service traffic.

Unstaffed hours, security, and the rails

Many laundries operate partly or wholly unstaffed, which makes cashless machines a security improvement as well as a convenience, since a site with no coin box is a site nobody breaks into for coins. Remote monitoring of machine status and revenue is genuinely useful at multiple sites. On rails, machine payments run through whatever system the equipment supports, service laundry suits card at the counter, and commercial contracts belong on bank transfer where monthly invoices reach four figures.
