Four flows. Rental charges by day, week, or month, billed against a signed rental agreement. Delivery and pickup charges, which are real costs and separate line items. Damage, cleaning, fuel, and overtime charges assessed on return. And contract accounts for builders and utilities who rent continuously and pay on terms rather than per hire.

On a $3,200 weekly rental invoice that is $106; by ACH bank transfer (1%, capped at $10) it costs $10.00, a $95.90 difference. Billed against a signed agreement with the condition record attached, which is what makes damage and overtime charges collectible rather than arguable.
Deposits and authorisation holds
A machine leaving the yard is your asset in someone else's hands, and the deposit is what makes that survivable. Take a deposit or an authorisation hold sized to the realistic exposure rather than to a round number, disclose the amount and release timing before the customer arrives rather than at the counter, and release promptly on a clean return. Verify identity and licensing where the equipment requires it, and treat a new account differently from an established one, because the customers who cause losses are almost always first-time hires nobody checked.

Damage disputes are the recurring cost in this trade and they are decided entirely on documentation. Photograph the machine at collection and again at return, record hour meter readings and fuel levels on the agreement, and have the customer sign the condition record rather than just the rental terms. A yard that photographs consistently recovers damage costs; a yard that relies on memory absorbs them and calls it depreciation. This is fifteen seconds per hire and it is the difference between a profitable fleet and a tired one.

Equipment kept beyond the agreed period is revenue if the agreement says so and a loss if it does not. State the overtime rate and the continuation terms plainly, charge them against the payment method on file, and have a clear escalation for equipment that stops coming back. Where a customer disputes continuing charges, the signed agreement and the delivery record are the whole case. Applicable rules on rental agreements, security deposits, and equipment recovery vary by jurisdiction and are worth knowing precisely before you need them.

Builders, utilities, and contractors renting continuously are the best customers in this business and need proper account terms: a credit check on opening, a written agreement, invoicing on a fixed cycle with purchase order references, and enforcement from the first late payment. Card suits consumer hires and deposits, where convenience matters and the amounts are manageable, while contract account invoices at four and five figures belong on bank transfer, since the fee difference across a fleet's monthly billing is a genuine number.
