How To Accept Payments For A Gym

A gym sells a promise to bill someone every month for a service they may not use, which makes it the purest recurring revenue model in small business and the one most exposed to silent failure. Dues that stop arriving without anyone noticing are the single biggest leak in the sector. Here is the setup.

Part of a bigger question. This is one example of a broader topic — How Do I Build Business Credit?. Start there if you want the full picture.

How gym money actually arrives

Four flows. Membership dues billed monthly or annually, the recurring core. Joining fees and annual maintenance charges at enrolment or renewal. Personal training and small-group coaching, which carry better margins than membership and are usually prepaid in blocks. And ancillary revenue: day passes, guest fees, retail, and vending.

By the numbers (July 28, 2026)

Square prices this lane at 3.5% + 15¢ on a stored or keyed card in 2026. A $45.00 monthly membership dues carries $1.73 in fees. Charged on a stored method monthly, where the weekly recovery habit on failed charges is worth more than any rate negotiation.

The dues recovery habit

Compare dues billed against dues received every week. The difference is failed cards, expired cards, and quiet disputes, and it is invisible unless somebody looks at it deliberately. Work the gap the same week: automatic retries, outreach before cards expire, and a human call for anything outstanding after that. A gym whose member count looks stable while its revenue drifts downward is almost always losing money here rather than losing members, and the fix costs nothing but attention.

Contracts, cancellation, and consumer rules

Gym membership contracts are among the most regulated consumer agreements in many jurisdictions, with specific requirements on term length, cancellation rights, notice periods, and how cancellation must be made available. Follow them precisely, and make leaving easier than the rules require. Difficult cancellation produces chargebacks, complaints, and reviews that cost more than the extra months collected, and members retained against their will do not renew, refer, or spend on training.

Training packs as liabilities

A ten-session training block sold today is ten sessions owed, and treating that money as revenue on receipt means spending against work not yet done. Track sessions sold against sessions delivered, state expiry, transfer, and refund terms at purchase, and reconcile monthly. Where trainers are contractors, payouts should be documented per session on fixed dates and the money trail should match the engagement model, since classification in fitness is genuinely scrutinised rather than theoretically so.

Annual plans, freezes, and the rails

Paid-in-full annual memberships improve cash flow substantially and carry refund considerations that should be stated plainly rather than left implied. Freeze policies reduce cancellations more than most operators expect, because a member who can pause during injury or travel usually returns while one forced to cancel usually does not. On rails, bank debit where available typically costs less than cards at membership volumes and fails less often, which is worth modelling once the member count justifies the switch.

Constant Contact

For a business that runs classes, services, or events, this is the one I point people at. Live phone support — which the big platforms genuinely do not offer at this price — and real event and RSVP tools built in. Plans start around $12/mo.

Separating the business money completely is what turns a thing which makes money into an asset. Square Checking has no monthly fee and no minimum balance, and your sales land immediately rather than waiting one to two business days for a transfer.

What people ask me

What is the biggest revenue leak in a gym?

Failed and expired card charges that nobody notices. Compare dues billed against dues received weekly and work the gap the same week.

What rules govern gym contracts?

Consumer protection rules in many jurisdictions cover term length, cancellation rights, notice periods, and how cancellation must be made available.

Should cancellation be made easy?

Yes, easier than the rules require. Difficult cancellation produces chargebacks and reviews costing more than the extra months, and coerced members never renew or refer.

How should training packs be treated?

As liabilities, with sessions sold tracked against sessions delivered, expiry and refund terms stated at purchase, and monthly reconciliation.

Card or bank debit for dues?

Bank debit where available typically costs less at membership volumes and fails less often, which is worth modelling once member count justifies it.
