How To Accept Payments For A Cleaning

A cleaning business is paid for recurring work in homes and offices where the customer is often not present, which makes autopay the only sensible default and route density the real economics. Commercial and residential behave differently enough to need separate treatment. Here is the setup.

Four flows. Recurring residential: weekly, fortnightly, or monthly visits at a fixed price, ideally charged automatically. One-off and deep cleans: move-in, move-out, post-construction, and spring cleans, quoted individually at higher tickets. Commercial contracts: offices, retail, and facilities on monthly invoices with terms and purchase orders. And add-ons: windows, carpets, appliances, and extras requested mid-schedule.

On Square's 2026 US card, this lane is 3.5% + 15¢ on a stored or keyed card. Processing a $260 monthly residential plan costs $9.25. Charged automatically on a stored method, which is the only arrangement that works when the customer is not home to pay.

Recurring residential belongs on autopay

A cleaner arriving at an empty house cannot collect payment, and chasing a cheque after every visit is a part-time job nobody is paid for. Set up a stored payment method at the start of service, charged on a fixed date or after each visit per the agreement, with the schedule communicated separately from the charge. That separation matters: a customer who associates payment with each individual visit starts evaluating each visit, while a customer on a monthly plan simply has a clean house. Failed payments need same-week follow-up before a second visit happens.

One-off deep cleans and the deposit question

Move-out and post-construction cleans are large tickets with real scope risk, since nobody knows how bad a property is until the crew arrives. Quote from photographs or an inspection where possible, state clearly what the price assumes, and take a deposit for new customers, particularly on properties you have not seen. Collect the balance on completion rather than invoicing, and where the reality differs materially from the description, raise it before starting rather than after, because a crew that works six hours on a four-hour quote and mentions it afterwards rarely gets paid the difference.

Commercial contracts and terms discipline

Offices and facilities buy cleaning as facilities spend, which means purchase orders, invoices with terms, and someone in accounts who has never met the crew. Get a signed agreement with the scope, frequency, notice period, and price escalation mechanism, invoice on the same date each month with the references their system needs, and enforce terms from the first late payment. Commercial accounts are the most valuable thing in a cleaning business and the easiest to lose to a cheaper quote, so the contract and the consistency defend the relationship more than price does.

Route density, staff, and the rails

The real economics here are geographic: drive time is unpaid, so a dense route earns far more per day than a scattered one, and pricing should reward customers who accept your scheduling. Where staff are employed or engaged as contractors, applicable classification, payroll, and insurance rules apply and the money trail should match the declared arrangement. Card suits residential recurring charges and add-ons; larger commercial contracts belong on bank transfer, where at four figures monthly the difference compounds all year.
