How To Accept Payments For An Auto Detailing

An auto detailing business collects at the moment a customer is happiest: standing beside a car that looks better than it has in years. That moment is worth designing around, because detailing is one of the few trades where the result is visually obvious and the upsell conversation writes itself. Here is the payment setup, from mobile jobs to membership plans.

Part of a bigger question. This is one example of a broader topic — How Do I Build Business Credit?. Start there if you want the full picture.

How detailing money actually arrives

Four flows. Single details: the one-off wash, interior, or full package, paid at completion. Recurring maintenance plans: monthly or fortnightly service on a stored card, which is the difference between a detailer with a calendar and one with a phone that has to ring. Premium services: ceramic coating, paint correction, and protection film, which are four-figure jobs needing deposits. And fleet or dealer accounts, invoiced on terms. Mobile operators run all four from a phone, which is the setup this article assumes.

By the numbers (July 28, 2026)

Square's published 2026 US rate for this lane: 2.6% + 15¢ in person. Processing a $250 full detail at completion costs $6.65. Collected on the spot at the reveal, which is where a detailer's receivables problem is solved before it starts.

Collect at the reveal, not by invoice

The single most valuable habit in detailing is taking payment before you leave. The customer is standing beside the finished car, the result is undeniable, and satisfaction is at its peak. An invoice sent that evening arrives after the feeling has faded and competes with everything else in their inbox. Tap or chip on a phone reader takes seconds, and a texted payment link covers the customer who is not home. Detailers who invoice routinely carry receivables that detailers who collect at the reveal simply do not have.

Deposits on ceramic and correction work

A ceramic coating or multi-stage paint correction ties up a bay or a full day and consumes expensive consumables, which makes a no-show catastrophic rather than annoying. Take a deposit at booking, stated as non-refundable inside a disclosed window, and schedule the balance for completion. Quote in writing with the condition documented, because correction work is judged against expectations and a customer who expected perfection on a fifteen-year-old finish is a dispute waiting to happen. Photograph before and after on every premium job without exception.

Maintenance plans, which change the business

A recurring plan on a stored card converts detailing from an errand a customer remembers occasionally into a scheduled service that bills automatically. Enrol the customer at the end of a full detail, when the car looks its best and the argument for maintaining it is standing in front of them. Charge on a fixed date, send the appointment reminder separately, and write the pause and cancellation terms plainly so nobody feels trapped. Route density is the real economics here, so plan pricing should reward customers who accept your scheduling rather than dictate their own.

Fleet and dealer accounts

Dealerships, rental operators, and company fleets buy volume at lower per-unit prices and pay on terms, which is a different business from consumer detailing and should be priced as one. Invoice monthly against a signed schedule of work, reference the vehicle identifiers their accounting requires, and offer bank transfer alongside card, since these amounts make the rail difference material. Terms need enforcing from the first month, because a fleet account that drifts to sixty days while you buy chemicals weekly is a cash flow problem dressed as a big client.

What people ask me

When should a detailer take payment?

At the reveal, before leaving. The customer is standing beside the finished car at peak satisfaction, while an invoice sent that evening arrives after the feeling fades.

Do detailers need deposits?

On ceramic coating and paint correction, yes. Those jobs tie up a full day and expensive consumables, so a no-show is catastrophic rather than annoying.

How do maintenance plans work?

A stored card charged on a fixed date, enrolled at the end of a full detail when the car looks its best, with plain pause and cancellation terms.

Why photograph every premium job?

Because correction work is judged against expectations, and a customer expecting perfection on an old finish is a dispute waiting to happen without before and after images.

How should fleet accounts be billed?

Monthly against a signed schedule, with vehicle identifiers their accounting needs, bank transfer offered beside card, and terms enforced from the first month.
